When It’s Time to Modernize Your Business Software and IT Systems

Almost every business has a program that “works, but”. The order system set up fifteen years ago, the spreadsheet that turned into a database, the application only one person knows how to use. While things run, nobody wants to touch them. The cost builds up quietly: lost time, errors, missed opportunities.

Signs it is time

  • The same data is typed two or three times. An order arrives by email, goes into the ERP, then into a spreadsheet for the warehouse.
  • Reports take days. To see how the month went, someone has to collect figures from three places.
  • The software is no longer supported. No updates from the vendor, or it runs on an operating system that is out of support.
  • It does not connect to anything. The e-shop, the bank, tax reporting and the CRM all live separately.
  • You depend on one person. If they are away, work stops.
  • The team has built workarounds. When staff keep their own files to get the job done, the system has stopped serving them.

Upgrade, replace or add something new?

  1. Upgrade what you have. If your ERP has a newer version that covers your needs, this is often the fastest route.
  2. Replace it with a ready-made system. When the current one has reached its limits, a modern ERP or CRM can cover most needs from day one.
  3. Extend it with a custom application. Keep the core that works and build what is missing around it: a partner portal, a field app, a dashboard with the numbers you care about. More in our guide to custom applications and web apps.

How to switch without stopping work

  1. We map how you actually work today, not how the manual says you work.
  2. We clean the data before moving it. Duplicates, old codes and incomplete records should not reach the new system.
  3. We run a test migration and check balances, history and reports together with your team.
  4. We train users on their own data, not on examples.
  5. We keep the old system available for look-ups, so no history is lost.

What you gain

Less typing, fewer errors, reports in one click, systems that talk to each other. And something harder to measure: a team working with tools that help rather than slow them down.

At D.igital t.hinkings we have worked with ERP, CRM and SAP since 1999 and have migrated very old systems to modern platforms. If you recognised your business in any of the signs above, talk to us.

Frequently asked questions

Will we lose our history if we change systems?

Not if the migration is done properly. We move the data you need and keep the old system or an archive available for look-ups.

How long does modernization take?

From a few weeks for a version upgrade to several months for an ERP change. After the analysis you get a specific timeline.

Can we do it in stages?

Yes, and we usually recommend it. Start with the area that hurts most and move step by step.
